What AI Automation Costs a Melbourne Electrician

What Melbourne electricians pay for AI automation: setup, ongoing costs, realistic payback, and when it is not worth the investment. All figures in AUD.

Most Melbourne electricians lose money in ways that never show up on a quote. The call that goes to voicemail while you are up a ladder. The after-hours enquiry that sits in an inbox until morning. The quote you meant to send yesterday but ran out of time. AI automation can plug those leaks, but only if the cost makes sense for your size of business.

This post breaks down what you actually pay, what you get back, and when it is not worth it. All figures are estimates based on typical small electrical businesses in Melbourne, not a quote. Your numbers will vary.

What an electrician actually automates

Before talking cost, it helps to know what you are buying. The three automations that pay off fastest for electrical businesses are:

  1. AI lead capture and call answering. Answers every call and enquiry instantly, captures the caller's details and job type, and texts or emails you a summary. Works after hours, on weekends, and when you are mid-install.
  2. Automated quoting. Turns enquiry details into a first-draft quote using your rates and template, so the customer gets something in writing within minutes instead of days.
  3. Job data entry automation. Pulls job details from your booking system or inbox and pushes them into your invoicing and job management software, so you are not re-typing the same address and scope into three different systems.

You can build one, two, or all three. The cost scales with scope.

What it costs: setup

A single automation, typically AI lead capture or missed-call handling for an electrician, costs roughly $1,500 to $3,000 to set up through a fixed-price provider. That covers the build, integration with your existing phone number or website, testing, and going live.

If you add quoting automation or data entry automation, expect the setup to land between $3,000 and $6,000 total, depending on how many systems you need to connect and how custom your quoting logic is.

A full setup, all three automations working together, typically sits in the $5,000 to $8,000 range. The upper end applies if you have complex job management software, multiple electricians on the team, or want the AI trained on your specific service categories and pricing.

These are one-time costs. Once built, the automation runs on a monthly fee.

What it costs: ongoing

The ongoing cost covers the AI platform, phone or messaging infrastructure, and minor maintenance. For a solo electrician or small team running one or two automations, budget around $150 to $300 per month.

A larger setup with quoting, lead capture, and data entry across multiple systems typically runs $300 to $500 per month. That includes platform fees, message volumes, and occasional adjustments as your services or pricing change.

There are no per-call charges with most setups. You pay a flat monthly fee whether the automation handles 20 enquiries or 200.

When it pays off

The payback calculation for an electrician is straightforward. You need to recover the setup cost plus the monthly fee from leads you would otherwise have lost or time you would otherwise have spent on admin.

A typical Melbourne electrical business loses 2 to 4 jobs a month to slow follow-up. Missed calls, after-hours enquiries with no response, and quotes that arrive too late. If your average job is worth $800, recovering two of those jobs a month adds $1,600 in revenue.

Against a $2,500 setup and $250 monthly fee, you break even in about the second month. From the third month onward, the automation is profitable.

If your average job value is higher, say $2,000 for a switchboard upgrade or commercial work, the payback is faster. One recovered job covers more than a month of running costs.

The quoting automation compounds this. Customers who receive a quote within an hour are significantly more likely to accept than those who wait a day or two. You are not just recovering lost leads, you are converting the leads you already have at a higher rate.

The time savings that do not show on a quote

Beyond recovered leads, the admin time adds up. Most electricians spend 4 to 8 hours a week on call handling, quote writing, and data entry. If automation cuts that in half, you get back 2 to 4 hours a week.

At an effective rate of $60 to $80 per hour, that is $120 to $320 per week in reclaimed time. Over a month, the time savings alone can cover the ongoing fee, before you count a single recovered lead.

This is the part most cost calculators miss. The value is not only in new revenue. It is in the hours you get back to bill out more work, or simply to finish at a reasonable time.

When it is NOT worth it

Not every electrical business should invest in AI automation. Here is when it probably does not make sense:

You are fully booked months ahead and turning work away. If you have more jobs than capacity, recovering more leads just creates a backlog. Fix your capacity first.

You get fewer than 10 enquiries a month. If your phone barely rings, the automation has little to recover. Focus on marketing and lead generation before automating intake.

Your quoting process is already fast. If you can turn around a quote in under an hour manually, the quoting automation saves you time but may not recover enough additional jobs to justify the cost.

Your job management software does not integrate. If your systems are entirely manual with no API access, the data entry automation becomes a custom build that pushes your setup cost up significantly.

In these cases, the money is better spent elsewhere until the volume or the pain justifies the investment.

What to check before you buy

Before committing, ask any provider these questions:

  • Is the price fixed or hourly? Hourly projects on admin automation tend to overrun. Fixed-price means you know the total before you start.
  • What does the monthly fee include? You want to know whether message volume, integrations, and updates are covered or billed separately.
  • How long does setup take? For an electrician, a lead capture automation should be live within 1 to 2 weeks. If a provider quotes months, ask why.
  • Can it use my existing phone number? You should not have to change your business number. A good setup forwards or overlays your current number.

The bottom line

For a Melbourne electrician doing 20 or more jobs a month, AI automation typically pays for itself within the first 8 to 12 weeks. The setup is a one-time cost in the low thousands, the ongoing fee is comparable to a mobile phone plan, and the return comes from recovered leads and reclaimed admin hours.

If you are losing calls, sending quotes late, or re-typing job details into multiple systems, the cost of fixing that is almost certainly less than the cost of leaving it broken.
