Missed-Call Text-Back vs. AI Receptionist for Electricians

Electricians miss calls all day and lose the job. Compare cheap missed-call text-back against a full AI receptionist that qualifies and books the work.

You're up a ladder rewiring a switchboard and your mobile rings three times. By the time you climb down, peel off your gloves and wipe your hands, it's stopped, and the caller has already dialled the next sparky on the list.

Most electricians don't lose work to a better competitor. They lose it to whoever picked up first. So the real question becomes: do you just fire back an automatic text when you miss a call, or do you put an AI receptionist on the job that actually has the conversation for you?

Here's the short version. A missed-call text-back is cheap, takes an afternoon to switch on, and is enough if most of your work comes from people who already know you. An AI receptionist costs more to set up but captures, qualifies and books the leads you'd otherwise lose from strangers ringing around after hours. If you do more than a couple of new-customer jobs a week, the AI receptionist usually pays for itself.

What a missed-call text-back actually does

A missed-call text-back is exactly what it sounds like. When a call goes unanswered, the caller gets an SMS within seconds: "Hi, you've reached Sparky Co, sorry we missed you. How can we help? Reply here and we'll get straight back to you."

The strength is simplicity. It runs off your existing phone number, costs roughly $20 to $60 a month through most Australian VoIP providers or small-business phone apps, and you can usually switch it on yourself in an afternoon. It also catches the caller while they're still actively looking, which beats a callback four hours later when they've already booked someone else.

The weakness is that it hands the work straight back to you. The caller replies, then you still have to stop what you're doing, text back, ask what the job is, work out if it's an emergency, agree a time, and put it in the calendar. For a one-person operation with a steady book of clients, that's fine. For a crew taking ten new enquiries a week, it just becomes another inbox you forget to check.

It also can't answer a question. "Do you do split-system installs in Brunswick on a weekend?" gets "Sure, what do you need?" instead of "Yes, we cover Brunswick and Coburg, weekend callouts carry a $150 surcharge, and I can slot you in for Saturday morning."

What an AI receptionist does differently

An AI receptionist is a conversational agent that picks up where the text-back starts and actually carries the conversation through. On a missed call it texts back, yes, but then it keeps going: it asks what the job is, confirms your service area, gives a ballpark price range, checks urgency, and offers real time slots straight from your calendar.

The strength is that it closes the loop without you. A stranger who rings at 7pm while you're at the pub doesn't get a "sorry we missed you" and a long wait. They get a qualified lead in your inbox by morning, with the address, the job type, a rough price they've agreed to, and a booked slot. The pattern is well known across trades: whoever responds inside the first few minutes wins a disproportionate share of the enquiries, and most small businesses take hours. An AI receptionist responds in seconds, every time, including Sunday night.

The weaknesses are real too. It costs more to set up, somewhere in the range of $1,500 to $4,000 to get a properly trained agent connected to your calendar and quoting logic, plus a monthly running cost. It needs your knowledge baked in: your service suburbs, your callout fee, your after-hours rules, the jobs you take and the ones you refer on. And for the small share of customers who dislike anything automated, a text exchange with an AI can feel less personal than a human, even if it's faster.

How the two stack up

The trade-off is easier to see side by side.

| What matters | Missed-call text-back | AI receptionist | |---|---|---| | Upfront cost | Near zero, often included | $1,500 to $4,000 (estimate) | | Ongoing cost | $20 to $60/month | $80 to $300/month plus usage | | Time to live | An afternoon | Two to four weeks | | What it does | Sends one SMS, hands it back to you | Qualifies, quotes, books, hands you a ready lead | | Who maintains it | Your phone provider | You or your automation partner | | After-hours | Fires the text, you still reply | Fully answers and books while you sleep | | Best fit | Solo sparky, repeat clients | Crew taking new enquiries every week |

Text-back is cheap and shallow. The AI receptionist is pricier and deep.

Which should an electrician pick?

Use this rule of thumb. If most of your work comes from builders, strata managers and past customers who'll happily leave a voicemail and wait, a missed-call text-back is genuinely enough, and it's far better than nothing. Don't over-engineer it.

If you're spending money on Google Ads, HiPages or Oneflare, running a website that actually gets found, or chasing emergency and after-hours callouts, the AI receptionist is the better buy. Every lead you pay for that rings out and only earns a "sorry we missed you" text is lead spend partly wasted. The AI receptionist's job is to turn that ring into a booked job before the caller dials the next name on the list.

There's a sensible middle path a lot of electricians land on. Switch on text-back this week because it's cheap and quick, then add the AI receptionist once you can see how many missed calls you're actually getting. Most phone systems will report your missed-call count, and that number is usually a surprise.

The takeaway is simple: text-back stops you looking uncontactable, but it doesn't stop you losing the lead. If the missed calls are from paying new customers, that's the gap worth closing properly.

Where Rootech fits

We build the AI receptionist side of this, not the text-back, so I won't pretend we're neutral. But we're straight with you that plenty of sparkies don't need us yet. If text-back solves your problem, keep your money in the bank. If you're watching leads slip because you can't answer the phone or reply fast enough, that's the gap we close, with a fixed price and a build that goes live in weeks.
