Should I Hire a Receptionist or Use AI?
A fair comparison of an AI chatbot versus a part-time receptionist for a small business: costs, strengths, weaknesses, and how to choose.
You're missing calls and messages, and you've narrowed it to two options: hire someone part-time to handle the front desk and inbox, or put an AI chatbot on your website and socials. Both can work. They're just good at different things, and the wrong choice for your situation wastes real money.
The quick verdict
If your enquiries are mostly repetitive questions (hours, prices, availability, "do you service my area") and they come in at all hours, an AI chatbot will handle the bulk for a fraction of the cost. If your work needs judgement, warmth, or complex back-and-forth on every interaction (say, sensitive client intake), a person is worth it. Many businesses end up wanting a bit of both: the bot catches the routine 80%, a human handles the rest.
A part-time receptionist
Strengths: Real judgement and empathy. Handles the unexpected. Can do things off-script: chase a supplier, calm an upset customer, make a call. Customers who value a human voice feel looked after.
Weaknesses: Cost. Even part-time, you're looking at wages, super and training: realistically $1,500 to $3,000+ a month. They work set hours, so after-hours and weekend enquiries still go unanswered. They take leave. And they can only handle one conversation at a time.
An AI chatbot
Strengths: Always on: answers at 11pm and on public holidays. Handles many conversations at once. Trained on your specific business (your services, prices, policies, FAQs), so it's accurate, not generic. After the build, ongoing cost is low. It never forgets to follow up.
Weaknesses: It's not a person. For anything genuinely novel or emotional, it should hand off rather than fake it. It needs a good initial build to be accurate. A lazy, generic bot annoys customers. And it lives where the digital conversation is (web, socials), not on the phone unless you extend it there.

How to choose
Ask what most of your enquiries actually are. Pull up the last 50 messages and calls. If 70 to 80% are variations of the same handful of questions, a chatbot will pay for itself quickly and free your team for the hard 20%. If almost every interaction genuinely needs a human, hire the person, and maybe add a small bot later just to catch after-hours enquiries.
It isn't strictly either/or. The most cost-effective setup for a lot of small businesses is a chatbot doing the repetitive work and routing anything tricky to a human, so you're paying a person to do the work only a person can.
